You spent a whole semester volunteering at a community clinic. Two years later, you sit down to fill out your dental school application. Now you need exact dates, total hours, and your supervisor's email. Many students reach this moment with only a rough memory to work with.
Learning how to track volunteer hours for dental school early saves you that stress. It also helps you describe your experiences with accuracy and confidence. In this guide, you will learn what to record after every shift, how the ADEA AADSAS application sorts your hours, and how to build a simple tracking system you will actually keep using. You will also learn how to log hours from experiences abroad in an honest, organized way.
Why you should track volunteer hours for dental school from day one
Most US dental schools use ADEA AADSAS, the centralized application. Its Experiences section asks for details about each activity. According to the AADSAS Applicant Help Center, you enter only hours you have already completed, never planned ones. You also list a contact person that schools can reach to verify the experience.
That means your records need to hold up over time. Supervisors change jobs. Email accounts close. Small clinics move. A log you update each week protects your work and makes the application much faster to complete.
What to record for every experience
The basic details
Create one entry for each organization or role. For each one, write down:
- Organization name, city, and country
- Your supervisor's name, title, email, and phone number
- Start and end dates
- Total hours and average hours per week
- Your role or title
What you did and what you learned
After each shift, add two or three lines. Describe your tasks in plain words. Note one thing you learned or noticed. These notes become the raw material for your experience descriptions, your personal statement, and your interviews.
Protect patient privacy in your notes. Never record patient names, photos, or details that could identify someone. Focus on your own actions and reflections.
A simple tracking system
A spreadsheet works well. Use one tab per organization and one row per shift. Add columns for date, hours, tasks, and reflections. At the end of each month, total your hours and check that the numbers make sense.
Two habits make your log stronger. First, ask your supervisor to confirm your total hours at the end of each term, by email or signed form. Second, save certificates, thank-you emails, and schedules in one folder. If a school ever asks for documentation, you will be ready.
How AADSAS sorts your hours
AADSAS asks you to place each experience in one category. The options include academic enrichment, dental experience, dental shadowing (in person or virtual), employment, extracurricular activities, research, and volunteer work. The help center describes the volunteer category as service outside the dental field. Dental-related service usually fits better under dental experience or shadowing, depending on what you did.
Two rules matter here. You cannot count the same hours in two categories. If one role covered different duties, split the hours between categories. You can also mark up to six experiences as your most important, so think about which ones you can speak about best.
Hours earned abroad follow the same logic. Each school decides how it views them, so check requirements early. Our article on volunteer hours for dental students explains how international service fits into your requirements. For help with the written part, see how to describe outreach on AADSAS.
Logging hours from a dental service learning trip
Trips have long days and lots of movement, so track them carefully. Keep a short daily log. Separate service time from travel, meals, and free time. Write down which professional supervised you and what tasks you supported. On a Smiles Movement dental service learning trip, those tasks can include preparing clinic stations, supporting instrument sterilization under supervision, and joining oral health workshops. Ask your pre-health advisor which AADSAS category fits your duties best.

Frequently asked questions about tracking volunteer hours
Do I need proof of my volunteer hours?
AADSAS asks for a contact who can verify each experience. Some schools may ask for more documentation. Keeping emails, certificates, and supervisor confirmations makes any request easy to answer.
Should I log experiences from before college?
Many advisors suggest focusing on college-level experiences. Some meaningful high school activities may still be worth including. Log everything now, then decide later with your advisor what belongs on the application.
What if I already lost track of some hours?
Rebuild your records with calendars, old emails, and messages. Contact past supervisors if you can. When you must estimate, stay conservative. Accurate numbers protect your credibility.
